Cancellation & Refund Policy

 

Cancellation

An applicant requesting cancellation is entitled to a refund of all monies paid minus a $100.00 Registration Fee provided they cancel in writing, at any time prior to execution of the Enrollment Agreement.

An applicant is considered enrolled into an SWTDT training program at the execution of an enrollment agreement. Persons enrolled into a training program may cancel the enrollment any time prior to 5 days before the start of class by sending a written Notice of Cancellation to the Campus Director where they are enrolled. If cancellation is effective prior to five days of before the start of the program, the enrolled person shall receive a refund of all monies paid minus a $100.00 Registration Fee, Physical/Drug Screen cost if applicable, and all additional costs incurred by SWTDT during the enrollment process if applicable. Persons who attend any amount of their enrolled program, on or after the commencement date or start date of their assigned program are considered Active Students. Active Students will be obligated to pay the full amount of their tuition plus the cost of physical/drug screen, if applicable including the cost of books and fees, whether or not, the Active Student completes the program.

Cancellation shall be effective as of the date of Notice of Cancelation is received. If cancellation date is effective within less than five days before the start of the program, the enrolled person is not entitled to receive a refund of any monies paid. Notice of Cancellation must be made in writing and to Southwest Truck Driver Training, Inc. and mailed/delivered to the attending institution at the address stated on the enrollment agreement.

 

Dismissal

An applicant not accepted by SWTDT will be dismissed and is entitled to a refund of all monies paid minus a $100.00 Registration Fee, Physical/Drug Screen cost if applicable, and all additional costs incurred by SWTDT during the enrollment process if applicable. Enrolled Persons and Active Students may be dismissed for violation of any of the following and thus are not entitled to any refund: 1) Violation of any of the conditions set forth in the signed Enrollment Agreement or Student Code of conduct. 2) Failure to comply with the school’s attendance policies. 3) Failure to maintain satisfactory academic progress.

 

Withdrawal

If an Active Student withdraws for any reason, after the period allowed for cancellation of the agreement as stated above or is terminated by SWTDT for violation of any of the above, after the commencement of programs, no monies will be refunded. SWTDT's policy for determining the effective date of withdrawal is the date on which SWTDT receives written notice of the trainee's intent to discontinue training or the date on which the trainee violates SWTDT's policy, which provides for termination.

 

Refund

*Refunds are issued within 45 days of receiving the written Notice of Cancellation.

 

Initiative & Agency Source Pro-Rata Refund Policy

SWTDT will perform a pro-rata refund for Workforce Initiative or Agency source Active Students who are attending SWTDT and withdraw from or terminate their training before completing more than 50% of their enrollment term. Refunds are calculated by dividing the total number of program hours comprised in the enrollment agreement by the number of completed hours by the Active Student in that period as of the last recorded day of attendance. The total contracted cost of the enrollment agreement will be representative of the total program hours, thus defining the cost per hour fee utilized in the calculation of the refund amount. No refunds will be issued after 50% of an Active Student’s program has been completed. *Approved refunds are issued within 45 days of determination of termination results.

 

Leave & Rescheduling

At the discretion of SWTDT, a leave of absence may be granted to Active Students who are unable to complete their program due to personal circumstances or illness, for a maximum of 60 days. (Roll Out/RO) At the Discretion of SWTDT, an Active Student who has RO may be granted access to return to complete their previously started program within 60 days of the of the dated leave of absence and will be considered a Roll In/RI once they are re-attending their program.

In the case of the Active Student’s prolonged illness, accident or other circumstance that make it impractical to complete the program, SWTDT may make a settlement which is reasonable and fair to both parties.

At the discretion of SWTDT, a student may be allowed to reschedule to attend their program only one time and must restart within a maximum of 60 days from date of leave.

This policy is subject to change at any time without notice and the website version of this policy is considered the effective and active operating policy as of the revised policy date at bottom of this page.
